This policy explains what personal information Harris School of Performing Arts collects about children and their parents or guardians, why we need it, and how we keep it safe.

Who we are
Harris School of Performing Arts (HSPA) is run by Francesca Carr, who is the data controller for the information described here. That means she decides how your information is used and is responsible for looking after it.

What we collect and why
We only collect what we need to run classes safely and keep in touch with families. Most of it comes from you when you fill in our enquiry or registration forms.
Child's name and date of birth. To register your child and place them in a suitable, age-appropriate group. Lawful basis: contract.
School attended (optional). Only if you choose to tell us, to help us understand your child's experience. Lawful basis: consent.
Medical conditions, allergies, additional needs and learning support. To keep your child safe, give first aid if needed and support them properly in class. Lawful basis: explicit consent, and the safeguarding of children condition in the Data Protection Act 2018.
Parent or guardian name, relationship, mobile number and email. To confirm bookings, contact you about classes and reach you in an emergency. Lawful basis: contract.
Emergency contact name and number. To reach someone if we cannot contact you during a class. Lawful basis: legitimate interests (your child's safety).
Photo and video consent choice. To record whether we may use images of your child. Lawful basis: consent.
Payment details. To take class fees. Payments are handled by GoCardless and we never see your full bank details. Lawful basis: contract.
News and updates sign-up. To send you occasional news about classes and workshops, only if you ticked the box. Lawful basis: consent.
How you heard about us. To understand which of our advertising works. Lawful basis: legitimate interests.
Messages you send us. To reply to your enquiry. Lawful basis: legitimate interests.
We will never sell your information or use it for anything unrelated to HSPA.
Who we share it with
We use a small number of trusted services to run HSPA. They store or process information on our behalf and only as we instruct.
Squarespace: hosts our website and receives the forms you fill in
Google (Google Workspace / Drive): where we securely store registration and enquiry records
GoCardless: processes class payments
Email provider: to send booking confirmations and, if you signed up, news and updates
Meta (Facebook and Instagram): only for photos or videos you have given consent for, and for our adverts. We do not upload your personal details to Meta
We will only share information with anyone else if the law requires it, or if it is needed to protect a child's safety, for example with emergency services or the local safeguarding team.
Photos and videos
We love sharing what happens in class, but only with permission.
We ask for your consent on the registration form, and you can say no without it affecting your child's place.
If you say yes, we may use photos or short videos of your child on our website, social media, printed materials and adverts.
We never publish a child's full name, school, address or anything else that could identify where they can be found.
You can withdraw consent at any time by emailing us. We will stop using new images straight away and remove existing ones from our website and social media where we can. We cannot recall printed items already handed out, or content other people have already shared.
How long we keep it
We keep information only for as long as we need it, then delete it securely.
Enquiries and free first class bookings that do not go on to join: 12 months after the last contact.
Registration records for current students: while your child attends HSPA.
Registration and medical details after a child leaves: 12 months after their last class.
Accident or first aid records: until the child turns 21.
Payment and financial records: 6 years, as required for tax purposes.
Photos and videos: until consent is withdrawn, or 3 years after the child leaves.
News and updates mailing list: until you unsubscribe.
Keeping your information safe
Records are stored in password-protected accounts that only Francesca can access. Medical and emergency information is shared only with anyone who needs it to keep your child safe during a class.
Your rights
You have the right to:
• ask for a copy of the information we hold about you or your child
• ask us to correct anything that is wrong or out of date
• ask us to delete your information, unless we need to keep it for legal or safeguarding reasons
• ask us to limit how we use your information, or object to us using it
• withdraw consent at any time, for example for photos or news emails
• ask us to send your information to you or another organisation in a usable format

Cookies and our website
Our website is hosted by Squarespace, which uses cookies to make the site work and to give us anonymous visitor statistics. You can manage cookies through the banner on our website or in your browser settings.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated at the top.
